2018 Hugo Ceremony Coverage Plans

The 2018 Hugo Awards Ceremony is scheduled for Sunday, August 19, 2018 at 8:00 PM North American Pacific Daylight Time (UTC-7) in the McEnery Convention Center Grand Ballroom in San Jose, California. The ceremony is open to all attending members of Worldcon 76, with additional seating available in “Callahan’s Place” in the convention center Exhibit Hall.

The Hugo Awards web site will once again offer text-based coverage of the Hugo Awards ceremony via CoverItLive, suitable for people with bandwidth restrictions. For those with the bandwidth for it, Worldcon 76 San Jose plans to offer live video streaming of the Hugo Awards ceremony. Details of the live-streaming coverage will be available at the 2018 Worldcon web site.

The Hugo Awards web site coverage team of Kevin Standlee, Susan de Guardiola, and Cheryl Morgan plan to be “on the air” approximately fifteen minutes before the ceremony. You can sign up at the CoverItLive event site for an e-mail notification before the event starts. Remember that the CoverItLive text coverage is text-only, and is likely to not be in synch with the video streaming. Also, the CoverItLive team here at TheHugoAwards.org is not responsible for the video streaming coverage and cannot answer any questions about it.

If you can’t be in San Jose, we hope you’ll join us on CoverItLive or watch the ceremony online.

2018/1943 Hugo Awards Voting Closed

Voting on the final ballot for the 2018 Hugo Awards and 1943 Retrospective Hugo Awards closed at 23:59 Pacific Daylight Time on July 31, 2018. The 2018 Hugo Awards will be announced at a ceremony on the evening of Sunday, August 19, 2018 at Worldcon 76 at the McEnery Convention Center in San Jose, California. The Retrospective Hugo Awards will be announced during the Opening Night events at Worldcon 76 on Thursday, August 16.

Current plans call for Worldcon 76 to live-stream the Hugo Awards Ceremony, and for the Hugo Awards website to provide text-only coverage of the event through CoverItLive. More details on coverage of the Hugo Awards Ceremony will be announced closer to the day of the event.

1943 Retrospective Hugo Awards Voter Packet

Worldcon 76 issued the 1943 Retrospective Hugo Awards Voter Packet on June 26, 2018. The “Retro-Hugo” packet is a collection of finalists (or links to finalists) for the 1943 Retrospective Hugo Awards made available to members of Worldcon 76 to assist them in making informed decisions when voting on this year’s Hugo Awards. The packet is available for download from the Worldcon 76 Hugo Awards website in the “Hugo Voter Packet” section. Members of Worldcon 76 can sign in using their Hugo Award voting credentials that were sent to them when the final Hugo Award ballot was issued.

As with the 2018 Hugo Awards Voter Packet and the ballots for both the 1943 and 2018 Hugo Awards, if you experience difficulty accessing them, confirm that JavaScript is enabled in your browser and be certain that the web address you are accessing begins with https: (not http:).

2018/1943 Hugo Awards Nominations Closed

Nominations for the 2018 Hugo/Best YA Book/John W. Campbell Award and for the 1943 Retrospective Hugo Awards have closed. The Administrators are tallying the nominations, confirming potential finalists’ eligibility, and contacting potential finalists in accordance with World Science Fiction Society rules. Worldcon 76 currently plans to announce the finalist shortlists on March 31. Details of their plans will be announced soon.

PDFs of 2018/1943 Nominating Ballots Published

Worldcon 76 has published PDFs of the paper nominating ballots for the 2018 Hugo Awards/Award for Best Young Adult Book/John W. Campbell Award for Best New Writer and for the 1943 Retrospective Hugo Awards.

Ballots must be received at the administrator’s mailing address (not the convention’s main mailing address) by Friday, March 17, 2018. Postmark date does not count.

2018/1943 Hugo Awards Nominations Open

The nominating period for the 2018 Hugo Awards and 1943 Retrospective Hugo Awards is now open, according to an announcement from Worldcon 76 San José. The convention also announced that John Picacio will host the 2018 Hugo Awards ceremony at Worldcon 76.

Instructions for accessing the online nominating form will be sent via e-mail, according to Dave McCarty, Hugo Administrator for Worldcon 76. Check your junk e-mail/spam/promotions folders in your e-mail client for this e-mail if you did not receive it. Despite the convention’s efforts, voter information notification messages may be flagged as spam.

The Worldcon 76 Hugo Awards web page has the links to the online nominating ballots for the 2018 and 1943 Hugo Awards, as well as to the page where you can request an online voting PIN if you have not received it.

Paper ballots will be mailed to those members of Worldcon 76 who requested paper publications along with the convention’s Progress Report 2, currently in production. PDFs of the paper ballots are also available from Worldcon 76’s Hugo Awards page.

Nominations will close at 23:59 Pacific Daylight Time on Friday, March 16 (06:59 UTC on Saturday, March 17), 2018. Online nominations will be closed at that time. Paper nominating ballots must be received (postmark dates do not count) by the Hugo Administrator by that time.

Worldcon 76 San José will be presenting the 2018 Hugo Awards (generally for works first published or appearing in 2017) as well as the 1943 Retrospective Hugo Awards (generally for works first published or appearing in 1942). Any person who was a voting member of at least one of the 2017, 2018, or 2019 World Science Fiction Conventions as of December 31, 2017 may cast nominating ballots for the 2018 and 1943 Awards.

Direct any questions about the administration of the 2018 and 1943 Hugo Awards to the Worldcon 76 Hugo Award Administrators, not to the Hugo Awards web site. The Hugo Awards web site team does not administer the elections for the Hugo Awards, nor do we make eligibility rulings. The 2018/1943 Hugo Awards are administered by the Hugo Awards Administration Subcommittee of Worldcon 76 San José, and all decisions regarding the eligibility of works and the administration of nominations are exclusively the committee’s responsibility.

Worldcon 76 San Jose advises us that they will open nominations for the 2018 Hugo Awards and 1943 Retrospective Hugo Awards within the next few days. They have been working with Worldcon 75 Helsinki and Worldcon 2018 Dublin to coordinate the combined membership information from all three Worldcons, and to do so within the limitations of the three countries’ data-protection laws. When testing of the online nomination form is complete, Worldcon 76 San Jose will release it on the Worldcon 76 web site and make an announcement. We’ll also announce the start of nominations here on The Hugo Awards web site. Paper ballots will also be distributed with Worldcon 76 Progress Report 2, which we understand is going to press in a few days and should mail to members of Worldcon 76 in February. Besides the online form, a PDF of the paper form will be available from Worldcon 76’s web site when it is ready for release.

Members of the 2017 (Helsinki), 2018 (San Jose) and 2019 (Dublin) Worldcons as of December 31, 2017 are eligible to make nominations for the 2018 Hugo Awards (for works first published or appearing in 2017) and 1943 Retrospective Hugo Awards (for works first published or appearing in 1942). If you are a member of more than one of those three conventions, you can still only cast one nominating ballot. Eligible members will be able to vote online at the Worldcon 76 web site or via paper ballot. The six highest-ranking nominees in each category will form the shortlist of finalists and will appear on the final ballot to be announced later this year. Only members of Worldcon 76 San Jose who join before the final ballot deadline (which is yet to be announced) will be eligible to vote on the final ballot.

Each Worldcon committee is a legally separate entity; therefore, the sharing of information between Worldcon committees is subject to any restrictions imposed by local law, which of course supersedes any requirements of the WSFS Constitution.

This is the final year that members of the subsequent year’s Worldcon are eligible to nominate on the current Hugo Awards. A change ratified in Helsinki and first effective with the 2019 Worldcon limits nominating to members of the current and previous Worldcon as of the end of the previous calendar year.

Membership Deadline for Nominating in 2018 Hugo Awards is December 31, 2017

If you want to nominate for the 2018 Hugo Awards, you must be at least a supporting member of one of these Worldcons by December 31, 2017:

  • Worldcon 75 Helsinki
  • Worldcon 76 San José
  • Dublin 2019: An Irish Worldcon

Persons who are supporting or attending members (or any other membership class that includes WSFS voting rights) of any of the 2016-2018 Worldcons as of December 31, 2017 will be eligible to nominate in the 2018 Hugo Awards. You do not need to be an attending member of any of these conventions to nominate, only a supporting member.

Nominating for the 2018 Hugo Awards will open in early 2018. The December 31, 2017 deadline is the deadline for joining one of the relevant Worldcons to be eligible to nominate. When nominations for the 2018 Hugo Awards open, we will post an announcement here. We also expect the relevant Worldcons to also make announcements at that time. If you are a member of the 2017, 2018, or 2019 Worldcons as of December 31, 2017, you are eligible to nominate for the 2018 Hugo Awards when nominations open in early 2018.

If you were not a member of Worldcon 75 and still want to nominate for the 2018 Hugo Awards, join Worldcon 76 San José or Dublin 2019: An Irish Worldcon by December 31, 2017 to be eligible to nominate. Note that joining Dublin makes you eligible to nominate for the 2018 Hugo Awards, but not to vote on the final ballot.

The December 31 deadline applies only to nominating. To vote on the final ballot, you must be a member of Worldcon 75 San José. The deadline for joining to be eligible to vote on the final ballot is the close of voting on the final ballot. (The final ballot deadline has not yet been announced.)
